Event type

Concert

At a concert the hard moment isn't the show. It's the ten minutes after the last song.

Headcount rule of thumb

One cloakroom attendant per 200 guests when the event closes at once. Two per gate on entry.

Concert

In short

Concert work concentrates at three points: entry, cloakroom and bar. Entry peaks in the hour before the start, the bar during the interval and before the headliner, and the cloakroom peaks twice: scattered on arrival, all at once at the end. In winter the cloakroom is the biggest bottleneck, because the whole audience wants its coat within ten minutes. As a rule of thumb, one cloakroom attendant per two hundred guests when the event closes all at once. Add a strike shift, planned separately, because by then the day crew has worked its hours.

Who you need, and why

Entry staff
Ticket, wristband, gate. The hour before the start is the peak.
Cloakroom attendant
Peaks all at once at the end. In winter this decides how leaving feels.
Bar staff
The interval and pre-headliner rush. Fast service, few lines.
Loaders
Build and strike. Strike is often overnight, as a separate shift.
Security staff
Front of stage and exits.

What to decide, and when

  1. 3 weeks ahead

Expected numbers, cloakroom needs, decide on a strike shift.

  2. 1 week ahead

Gate allocation, number of bars, shift lengths.

  3. Build day or that morning

    Loading crew, stage and bars.

  4. After the concert

Strike shift, with a fresh crew rather than the day's people.

What usually goes wrong

  • The cloakroom is sized for the arrival rate, when everyone comes at once at the end.
  • The day crew is expected to strike, after already working twelve hours.
  • There's one bar, and half the audience doesn't get a drink in the interval.
  • Entry ignores that the support act's start time brings its own peak.

Frequently asked questions

Why a separate strike shift?

Because strike happens after the concert, when the day crew has already worked its hours, and casual employment carries day limits. A fresh crew strikes faster and you don't risk overtime or drop-outs.

How many cloakroom staff for an 800-person concert?

Four if the event closes at once, because the whole audience wants its coat within ten minutes. Three is enough if people leave gradually.

Can you cover a same-day request?

In urgent cases yes, though the choice is narrower and the urgency surcharge applies. At concerts it's usually the strike shift that gets forgotten rather than the day crew.
