Event type
Gala dinner
At a seated dinner, headcount isn't a comfort question. It decides whether a table is served together.
Headcount rule of thumb
Plated service: one waiter per 15-20 guests. Buffet: one per 30-40 guests.

In short
At a gala dinner, waiting headcount follows the service style. For plated, seated service, budget one waiter per fifteen to twenty guests so a table receives its course together. For buffet service, one per thirty to forty guests is enough. For a champagne reception you need one person per tray, and the first fifteen minutes are the heaviest. Add a cloakroom attendant and a welcome hostess, and above eight to ten waiters, an on-site team lead who keeps the rhythm between kitchen and room.
Who you need, and why
- Waiting staff
- Course timing. At a seated dinner this is the rhythm of the whole evening.
- Bartender
- For a separate bar, so waiters aren't queueing at it.
- Welcome hostess
- Seating plan, table numbers, place cards. The entrance decides whether there is chaos.
- Cloakroom attendant
- Evening wear and coats. The cloakroom peaks all at once at the end.
- Team lead
- Above eight to ten staff, someone has to own the line to the kitchen.
What to decide, and when
3 weeks ahead
Service style and menu, because these set the headcount.
1 week ahead
Seating plan, table numbers, special diets flagged.
On site, 2 hours early
Laying up, section split, who takes which tables.
20 minutes before the reception
Trays loaded, because the first quarter hour is the heaviest.
What usually goes wrong
- Plated service attempted with buffet headcount, and the last table gets cold food.
- Nobody marked who has the gluten-free or vegan plate, so the waiter asks in front of the guest.
- The cloakroom runs with one person, and a twenty-minute queue forms at the exit.
- No team lead, so kitchen and room work to different rhythms.

Frequently asked questions
How many waiters for a 200-person gala dinner?
Ten to thirteen for plated service, plus a team lead, plus cloakroom and welcome. With a buffet, five to seven can be enough, but then replenishing the buffet becomes the bottleneck.
What's the difference between tray and plated service?
With tray service staff circulate and guests take from the tray; that suits receptions. With plated service every guest receives their course at their seat, which is slower and needs more people, but it is the expectation at a seated dinner.
Is a uniform needed?
White shirt with black trousers or skirt as standard. If the venue has its own dress code, or you provide branded uniform, we agree it in advance and the crew arrives in it.
