Event type
Team building day
At a team building day, the staff's job is to keep the programme from being about logistics.
Headcount rule of thumb
One person per station, plus a coordinator. Catering is a separate headcount.

In short
Team building staff are organised by station: each one needs a person to explain the task, keep time and score it. As a rule of thumb, a five or six station programme needs five to six people plus a coordinator who moves the groups and holds the schedule. Catering is a separate headcount: if there's lunch or a standing reception, don't have station staff run it, because then the stations stop. The biggest mistake is underestimating the schedule: if one station overruns, the whole rotation slips and the last third of the programme gets cut.
Who you need, and why
- Station staff
- Explaining the task, timing, scoring. One person per station.
- Coordinator
- Moving groups, holding the schedule. Without one the rotation collapses.
- Waiting staff
- Lunch or a standing reception. A separate headcount, not taken from the stations.
- Support staff
- Moving kit between stations, restocking.
What to decide, and when
2-3 weeks ahead
Number of stations, group size, total schedule.
1 week ahead
Rotation plan, who runs which station, catering timing.
On site, 90 minutes early
Stations set up, a practice round, timings checked.
During the programme
The coordinator holds time, not the station staff.
What usually goes wrong
- No coordinator, so every station runs at its own pace and the rotation collapses.
- Station staff also run catering, and the stations stop at lunchtime.
- The schedule is planned around the fastest group rather than an average one.
- No plan B for outdoor stations in bad weather.

Frequently asked questions
How many staff for a team building day?
As many as there are stations, plus a coordinator. For a six-station, hundred-person programme, seven people, with catering staffed separately.
Who keeps time?
The coordinator. Station staff focus on their task, and if they also have to hold the rhythm of the whole programme, one of the two slips.
What happens outdoors if it rains?
You need a plan B in advance: covered stations or a modified rotation. That has to be reflected in headcount too, because covered venues often allow fewer parallel stations.
