Festival season 2026: when to book your crew
For summer festivals the good crews are gone by March. If you're staffing a July event, don't leave it past May: that's the last point where you can cast the team rather than take whoever is free.
Why capacity disappears so early
Hungary's festival season compresses into a few weeks: from June to late August most weekends are booked, and the same few thousand experienced people work every major site. Whoever booked in March isn't searching in July.
Multi-day events narrow the field further: a three-day festival ties up the same crew for three weekend days, so it removes far more than a single day of capacity.
How much lead time you actually need
Plan roughly like this, by size.
- Under 10 people: 1-2 weeks is ample, 24-48 hours in a rush
- 10-30 people: 2-3 weeks, so the team can be cast to the job
- Over 30 across shifts: 4-6 weeks, including reserves
- Multi-day, multi-site: 6-8 weeks, because one crew must cover it all
What happens if you start late
It isn't that there are no people; it's that there's no choice. On an urgent booking we build the crew from whoever is free rather than whoever fits best. At a festival this hurts most at team-lead level, where experience is what counts.
The second consequence is no reserve. Without a buffer behind the rota, one illness or one missed train punches a hole in the schedule.
The takeaway
For a July festival, March is ideal, May is still comfortable, and by June you're working with whoever is left.
